Six New Rules of Project Portfolio Management

Project management is described as application of tools, techniques, skills and knowledge to plan the activities so that the requirements program are met. In essence, project management concerns making projects happen. It is the discipline of executing, managing and planning with the aim of having ready specific deliverables within a particular time and budget.

A project manager can be termed successful if he or she can envision complete projects from the beginning to the end and also have the skill to achieve that vision. Project managers, to be in track with IT and business, must make management practices flexible.

1. Be agile and do not micromanage

Orthodox project management techniques have proved to be unnecessarily bureaucratic, time-consuming and rigid for the contemporary business environment. As a matter of fact, these can go against the IT departments. Changes and issues should be met with agility.

An ideal project manager is one who leads. A few project managers could be too analytical or focus on fine details when their real focus should be on project completion and the achievement of mile stones.

2. Plan and continuously improve project management practices

Technology always evolves to meet the users’ changing requirements. So the project management must evolve along with the IT processes and business. Planning is very important in the task list of project managers. It must be organized and detailed. Planning must also include participation by the team. It is to be remembered that plans can be re-prioritized and changed as per demands of situations.

3. Work with urgency

Projects are restricted within a particular timeline, resources and budget. It is of prime importance that the any project must always be led towards completion. It is essential to have periodic updates, follow-ups and meetings.

4. Communicate all the project activities and deliverables

The project manager and team should help in creating a picture of deliverables in minds of every person involved in the process. It keeps everyone on the same page.

5. Wok on all deliverables in a planned manner

It is impossible to enter a project with intention of building all the project variables in a single shot. It is much better to work in phases, get the process reviews and also the approvals. A sense of direction must be maintained.

6. Healthy risk management

Team members must not hesitate when it comes to reporting the challenges or concerns. A database of project risks must be maintained. It should track all the issues and their resolutions.

For any successful management of a project, communication is the key. All members should be encouraged to voice their concerns and opinions. It leads to fewer mistakes, saving both money and time.
