The deployment of the Thinking Portfolio risk portfolio was implemented efficiently

Project Manager for Vantaa’s tram project, Tiina Hulkko, participated as a customer representative in the City of Vantaa’s risk portfolio deployment project, and the utilisation of the risk portfolio was the first started in the tram project.

The timetable for getting the portfolio up and running was “as soon as possible” and the portfolio was already taken into use two months after ordering. Thinking Portfolio adjusted nicely to the desired schedule and the deployment project was carried out efficiently.

– I was surprised at how easily the portfolio could be modified during deployment. The solution for the features we wanted was always found in one way or another, and the features we needed were implemented during the deployment project. At the end of the deployment project, our existing risk material was converted into Thinking Portfolio without any problems, Tiina reminisces about the progress of the project.

The clear process and user-friendliness of the risk portfolio is praised

Representatives of different types of technology who participate in the Vantaa tram project record risks in the portfolio whenever they arise.

There has been feedback from users that the Thinking Portfolio risk portfolio has proven to be a clear and workable tool and there has been little need to study how to use it. Infrastructure designers have commented on the clear process that can be implemented with the help of the portfolio. Reporting has also received special praise from portfolio users.

Our external risk consultant has praised the user-friendliness of Thinking Portfolio compared to the applications he has used in the past. Reporting and graphics received special praise. Reports can be taken as graphs from the portfolio, no separate Excel file is required, and the data can be presented directly from the portfolio.

With the help of the Thinking Portfolio risk portfolio, you can smoothly look at risks from different perspectives

In the Vantaa tram project, the risk portfolio monitors matters that affect, for example, the timetable and costs. The risks can be small or big. The tool is used to monitor the situation and take the necessary measures to mitigate the risks.

Once a month, there is a customer-side risk workshop where, for example, deadlines for risk-related measures are defined.  In addition, risks are reviewed 2–3 times a year in each group of different technology types.

In the future, in addition to the magnitude and probability of risks, the cost impact of risks will also be assessed. This provides support for establishing a cost estimate of the project, and in addition, risk management can focus specifically on the risks with the greatest cost impact. The risk status will be presented to the project steering group in the future. For this purpose, suitable graphs can be obtained directly from the portfolio to show, for example, the total number of risks or in which areas the greatest number of risks has been identified.

Cooperation with Thinking Portfolio will continue actively.

Thinking Portfolio did not terminate its responsibility when the deployment ended. The service includes continuous monitoring, and I have been well informed about how to proceed in the future if I need help with the portfolio or if we want to develop it further, rejoices Tiina.

The cooperation with the Thinking Portfolio consultants also went well in the deployment project. I was aware of what was happening all along, status updates were provided regularly, and I got answers to my questions as soon as I needed them. I highly recommend Thinking Portfolio, it has been working well, also for those who have used other risk portfolios before.
